Every business needs to follow BIR requirements. That means paying the correct taxes and submitting the necessary documents and requirements in a monthly, quarterly and annual basis. The documentary requirements are so tedious that you would waste a day or two filling them out.

Not to mention the archaic technology BIR uses for these systems. Their programs use Visual Basic and not compatible with Mac machines. To use their systems if you are on a Mac machine means you need to purchase a license for VMWare Fusion or Parallels. Way to go BIR!

Every business needs to submit, in addition to their eFPS filings, the following requirements: VAT Sales Relief, VAT Purchases Relief, BIR 1604F, BIR 1604E, Summary Alphalist of Withholding Taxes, to name a few. Unfortunately, the BIR offer tools that are insanely archaic and almost next to unusable in some instances.

If you are like us, we use Quickbooks as our accounting system. Every invoice and bill is created in real time using Quickbooks. With the way BIR wants us to work, we need to re enter all invoices and bills in their VAT RELIEF system. This is bullshit in my opinion. Why punish businesses with double entry and additional work? Why not provide a tool that converts Excel files to files that the BIR system can read?

Export to Excel and then convert using BIR Excel Uploader

All you need to do is export all your files to Excel format. If you are using an accounting software like Quickbooks, Xero, MYOB, I am pretty sure they have built in export functions. If you are not using any accounting systems, you can start using a spreadsheet to take advantage of BIR Excel Uploader.

After exporting all your files to Excel format, go to the website and upload your files. It wouldn’t take more than 5 seconds to convert them to BIR DAT files. What you need to be aware of is that you need to validate all DAT files generated by BIR Excel Uploader using the BIR tools.

For example, you generated VAT Sales Relief using BIR Excel Uploader. You then need to validate it using BIR’s VAT Relief Validation Tool to generate a file key so you can submit it using eSubmission or as an upload in eFPS.

Final thoughts

We have been using the tool since June 2016 and just found out that they offer a subscription. For the heck of it, we subscribed to it’s annual plan. It’s 600 pesos per year. I believe it’s a small price to pay for such an outstanding online tool. Needless to say it has saved us countless hours and countless days doing VAT Relief entries, 2307 forms, etc. No more double entry and additional work for us.

Here’s hoping more businesses will support the website. Here’s hoping as well that the admin for BIR Excel Uploader gets hired by BIR to overhaul their tools.
